Terms of Service

Version 2026-09-11

Plain-English summary (the clauses below are what actually applies): Roptimal plans delivery routes. You buy tokens to use it. Routes are estimates, not instructions — drive safely and obey the road. Don't abuse the service or resell it. You can leave and delete everything whenever you like.

1. Who these terms are between

These terms are an agreement between you and Roptimal (“we”, “us”). By creating an account, signing in, or using the service you accept them. If you're accepting on behalf of a business, you confirm you're allowed to bind that business.

2. Accounts and sub-accounts

An account owns a workspace. A workspace admin can create sub-accounts (typically one per driver) that sign in with a username and password the admin sets.

Admins are responsible for the sub-accounts they create: for distributing credentials safely, for what those sub-accounts do, and for revoking access when someone should no longer have it. You must keep your own credentials secure and tell us promptly if you believe an account has been compromised.

3. Tokens, payment and tax

The service is paid for with tokens — prepaid credits consumed by address searches, route optimizations and bulk imports at the rates published on the Tokens page. Rates may change, but a change never affects tokens you have already bought.

Tokens are sold in packs and do not expire. Payment is handled by Stripe; we never receive or store your card details. Prices are shown excluding sales tax, which is calculated at checkout based on your billing address and added to the amount charged.

Tokens have no cash value and cannot be transferred between workspaces. Unspent tokens may be refunded within 30 days of purchase by contacting support@roptimal.app. Tokens already spent are non-refundable, because the third-party API calls they paid for have already been made. Deleting your workspace forfeits any unspent balance.

4. What the service is — and isn't

Roptimal produces route suggestions and time estimates using third-party mapping and traffic data (currently Google Maps Platform). These are estimates. Traffic, closures, weather, access restrictions and vehicle limits can all make a suggested route wrong or unsuitable.

You are solely responsible for how you drive. Always follow road signs, traffic law and your own judgement over anything the app suggests. Do not interact with the app while driving. The service is not designed for emergency, hazardous-materials, or oversize-vehicle routing.

5. Acceptable use

You agree not to:

  • access the service by any means other than the interface we provide, including scripting or automating it;
  • resell, sublicense or white-label the service, or use it to build a competing product;
  • attempt to circumvent token charges, rate limits, or access controls;
  • upload address data you do not have the right to process, or use the service in breach of any privacy law that applies to you;
  • probe, scan, overload or otherwise interfere with the service or its infrastructure.

We may suspend or terminate an account that breaches this section.

6. Intellectual property

Roptimal — the underlying software, source code, the Roptimal name and logo, this website, and all associated design and documentation — is owned by us and protected by copyright and other intellectual property laws. All rights not expressly granted to you in these terms are reserved.

Your account gives you a license to use the service as described here — it does not transfer any ownership in, or license to, the underlying software. You may not copy, reverse-engineer, decompile, or create derivative works from the service, except to the extent applicable law gives you that right despite this restriction.

Route and stop data you submit remains yours. You grant us only the license needed to process it in order to provide the service to you, as described in our Privacy Policy.

7. Third-party services

The service depends on Google Maps Platform, Clerk (authentication), Supabase (database) and Stripe (payments). Your use of Roptimal is also subject to Google's Maps Platform terms. We are not responsible for outages or changes in those services, though we'll do what we reasonably can to work around them.

8. Your data

We do not sell, rent or trade your personal data, your workspace's data, or your customers' addresses to anyone, for any reason. Full detail on what we store and why is in our Privacy Policy, which is part of this agreement — in short, we don't store the addresses or routes you plan, except that the planner saves a short, workspace-shared history of your last 10 optimized routes (plus anything you star as a favorite) so a route can be reopened in Google Maps without paying to recalculate it. Each saved entry is a label and a Google Maps link, never the underlying stop addresses.

9. Availability

We aim to keep the service running but do not guarantee uninterrupted availability. We may change, suspend or discontinue features. If we permanently discontinue the service, we will refund unspent token balances.

10. Liability

To the fullest extent the law allows, the service is provided “as is” without warranties of any kind, and we are not liable for indirect, incidental or consequential losses — including lost deliveries, lost profits, fuel costs, or missed deadlines arising from a route suggestion.

Where liability cannot be excluded, our total liability to you is limited to the amount you paid us in the twelve months before the claim arose. Nothing here excludes liability that cannot lawfully be excluded.

11. Ending the agreement

An admin can stop using the service and delete their workspace at any time from Settings — this removes the entire workspace, including all sub-accounts and data. A sub-account can stop using the service at any time but doesn't delete its own access; that's removed by the workspace's admin. We may terminate or suspend access for a material breach of these terms.

12. Changes to these terms

We may update these terms. Material changes raise the version number, and you'll be asked to accept the new version the next time you sign in. Continuing to use the service after accepting means the new terms apply.

These terms are a good-faith starting point written for a small operator, not legal advice. Before taking real payments you should have a qualified lawyer in your jurisdiction review them alongside your privacy policy.
